Auto case is a feature that automatically creates a new case in a queue when an incident record is created or a customer enters a request using the guest feedback form. It can be used to manage guest issues, track progress and meet service level agreements SLAs. auto case management also provides valuable data on the property – visibility into what is being reported, the root causes and solutions and through which channels issues are most often reported.
This feature is configured in the Firm Settings > Case Numbering tab and requires admin user permissions to access. You can set up your own unique numbering scheme by selecting a format for your cases. Once you have your scheme set up you can select Save Numbering Scheme to apply it moving forward. You can also choose to apply this new scheme to existing cases. Completing this will overwrite your current case numbers based on the newly defined scheme, starting with the earliest open date.
When a case is automatically created, an email notification will be sent to the customer. You can edit the email template or disable this feature by clearing the Send automatic response to customer on case creation checkbox. You can also define the conditions for creating a case and specify the case properties.
